Introduction - New IST School - Operator Representative
We would like to welcome Kate Itinger from the IST College to the Operator Committee.
Upgrading to Eudora 4.2 - Enhancements
New enhancements that make it worthwhile to upgrade!
- Automatic Spell Check - Eudora checks your spelling as you type.
- Reply with Selected Text - Highlight some text in a mail message and select REPLY. The text you highlighted will be quoted in the mail message
- Automatic Name Completion - Begin typing in the TO: area and you will notice an Email ID plop in for you. If theres more than one entry that begins with the letters you're typing, you'll get a drop-down menu to choose from.
- Automatic Name Completion in Directory Services - When you look up a name using Eudora's Directory Services, a drop-down history list now appears displaying the most current names you've entered.
- Improved Search/Find Feature - You can now give many different criteria options to search for mail messages.
- Speak Filter Action - You can set up a filter that notifies you by voice of incoming mail messages.
- Things you need to have before you can use this function
- Your machine must have a soundcard
- Must have a Speech Application Programming Interface (SAPI) and a SAPI-Compliant text-to-speech engine. You can download these from the WEB, or from the Network.

For the VOICE Activation, you need to install these .exe files:

Eudora MAIL - Setting OPTIONS - Tighter Security
As long as you're sending to a user on the Network, you've always been able
to just type in the users Network ID. This option DOES
NOT work any longer, unless you follow the instructions below.
Examples of Network ID's would be: SBGECL & DJSCDC
Once this is completed, short ID's (SBGECL) can be used in the TO:/CC:/BCC: area.
Office 2000 - 'True' HTML Filter Available
The Office HTML Filter is a tool you can use to remove Office-specific markup tags embedded in Office 2000 documents saved as HTML. When you create an HTML document in Office 2000, Office-specific markup tags are embedded in it. These tags help "round-trip" the document for editing purposes
For Example: If you create the document in Word 2000 and save it as HTML, the code embedded in the document allows you to re-open the document in Word 2000 and use the same features you originally used to create the page.

Check to see if you have mail messages sitting on the CAC
mail server
There is a Webpage available that allows you to check and see if you have mail sitting on the CAC mail server (Compliments of Susan Gunsallus)
This site will prompt you for your PSU username and password. It will then tell you how many messages are on the server waiting to be downloaded.
College -- IMPORTANT -- Stay Current with Patches and Fixes
The support staff has developed a webpage that has Patches & Fixes that are strongly recommended to be current on users machines. The names of the Patches & Fixes are listed as are the location on the Network where they can be downloaded from.
If you’re not running OS-R 2 or higher (designated by a "b" or "c" at the end of the version number) you really should upgrade – Contact your Technical Contact for such an upgrade
These patches and fixes are listed because of their importance for security, reliability and/or Y2K compliance. If there are any files that you feel should be placed on the Network and/or listed on the software checklist, please let Joe or Jerry know.

- Were trying to get an idea of users in the College that would be interested on training for Netscape Calendar and Netscape mail. These would be totally NEW training sessions.

- Are people in youre departments moving to the new Office 2000 Suite?
Training
Hands-on sessions will be scheduled within the next couple of months. An Office 2000 Overview is now available. This is a brief session that hits on the enhancements of each application. If you know of anyone interested, please have them contact Danna Smith at 3-4666 or email Danna@engr.psu.edu
Download patch for Outlook 2000 - Email Attachment Security Update
All users should make sure that they know the purpose of attachments before opening them. Currently, users that have attachment security set to high within Microsoft Outlook's security settings will receive a warning before opening attachments.
- DO NOT use the update for Outlook 2000 for lower versions
- There are separate updates for Outlook 97 and 98
You will find a patch at the following location that will increase the security provided by Outlook 2000 for certain types of email attachments.
IE 5.0 - Security Breach - How to Protect Your Passwords
Excel 97 & 2000 - Patch for ODBC Driver
Excel 97
The patch updates the Jet 3.51 component of the ODBC database driver which eliminates the vulnerability that could be exploited using an Excel 97 query to do malicious acts, such as deleting files on a user's machine.
Microsoft recommends that all Office 97 and Excel 97 users update their
systems with this security update.
Excel 2000
In the course of producing the solution to the Excel 97 ODBC Driver Vulnerability, Microsoft testing discovered a separate vulnerability in the ODBC database driver that may affect Excel 2000 users. This vulnerability is related to the IISAM component of the ODBC database driver and could be exploited using an Excel 2000 query to do malicious acts similar to those described in Excel ODBC Driver Vulnerability.
Microsoft recommends that all Office 2000 and Excel 2000 users update
their systems with this security update.

OAS - Updates
- OCWEBConnect - New Version

- OAS upgrading mainframes because of drop/add slowness
- Renovations are being made to Shields - Servers being moved
- COLD (Computer Output to Laser Disk) Server:
- Downloading reports from mainframe
- Associate the data file with application file
- Online HELP is at site
- Eliminates printing
- TextPad is used so Netscape can pull up file.
- TextPad is used because of the size limit to Notepad
- First time you bring back file from COLD Server, you need to:
- Associate the file with the TextPad application
- PROGRAM FILES/TextPad Folder/Select Textpad App
- Select [OPEN] file (recommended)
- DeSelect message to appear again
- In TextPad you could do a search, for example
- They selected Textpad because of the page-break handling & University site license for Textpad
- Can save file out as .xls, .html, etc.
- You need an OAS User 'Mainframe' ID - see your ASR to get into COLD Server
- Macs can use the COLD Server as well - Netscape 4.5 or higher, IE 4.0, Word 98
- Internet Explorer doesn't work well - lower than IE 5.0
- If printouts don't look right, change Font & Margin settings if reports are thrown off - or use condensed print.
LCS - Library Computer Systems
- Web servers now have advanced searching
- Changed authentication - can use CAC (Access Account ID) or SSN
- Grad students need to use Access Account ID
- Electronic submission of theses at: http://etda.libraries.psu.edu/
- Patrons can change their addresses online.
- There is a move toward ALL electronic thesis submissions.
CAC Issues
- VM System will be GONE by November 99 totally
- If access is still needed by faculty, etc., they must complete a form and return to CAC
- SAS & SPSS need to be converted on VM
- Grad students are helping with conversions at the Help Desk
NEW CAC-Pac CD - 2.0
- Is NOW available to Faculty/Staff/Students
- This version has new software, more MAC documentation, and Y2K information.
- New version of Eudora is NOT included because it wasn't available
- The new Mac versions are: Eudora 4.2, Netscape 4.6, and IE 4.5
- The new PC versions are: Eudora 4.02, Netscape 4.6.1, and IE 5.0
- You can pick up your new CD at 12 Williard Building (in the basement) - You will be expected to show your PSU ID and possibly sign a form indicating you will refrain from use when you leave PSU.

- Students on an OFFICIAL leave of absence may now pay to keep their Access Account active for $8/month.
- The new Accounts system should be ready by the end of November and may run in parallel for some time during the Fall with the old system.

- Every 6 months, University systems are scanned
- The expectation is high that vulnerability problems should be addressed if something is found within an area.
- NOTE: Scans drop old JetDirect TCP connections
Networking/Dialin/Email
- 2 new routers were put in - there were problems in August
- Faster connectivity
- Goal: Internet2 to the Desktop
- Dialin Numbers:
- 863-7777 - reduced to 256 lines
- 863-2222 -1200 lines (V.90 modems) - have been increased to 2000 lines
- 863-2222 - [use this number if on campus]
- Not going to change at this point (Eudora still mail client used)

Y2K Planning
- University has Continuity Planning for any Y2K problems
- Email from Ken Blythe will be sent on who's to do what from Dec 31 to Jan 2
- Continuity Planning consists of:
- Checking integrity of infrastructure - gas, electric, heating, water, sewer, phones & backbone
- Reporting status to University Continuity Office
- Checking LAN's before January 3rd when everyone comes back to work
- There will be a Temporary 'University Y2K Support Center' from Jan 1 - Feb 2000
- Staffed with students M-F - 10 FTE students plus a manager
- Supplements OAS Help & CAC
- Late fall - the phone number will be advertised
