TIP #1: FYI - PULLING A 'TEXT FILE' INTO A MAIL MESSAGE
AREA INSTEAD OF ATTACHING A FILE (All Versions)
You can pull an entire
'text' file into your mail message area instead of having
the text file sent as an attachment.
Users may want to do this with minutes of meetings, etc. where the messages
may be going to people who are not able to extract the file
when received.
The text file becomes 'part of the mail message', and is seen when the
person pulls the mail message up.
The file MUST BE 'saved as' DOS text (ASCII text)
EX: In WP61 or Word, etc. you would FILE/Save As, select File 'Type' area to
DOS or ASCII text, in addition to giving a filename
STEPS ON SENDING A 'TEXT FILE' AS PART OF A MAIL MESSAGE NOT AN
ATTACHMENT!!!
1.Save the word processing file as a 'text file/ASCII file' using
FILE/Save As/select File Type as DOS (or ASCII text or Plain Text)
2.Close the file (FILE/Close)
3.Go back to Eudora
4.Under Settings (Configuration), select the Attachments area (for Eudora
5.1, Tools/Attachments)
Be sure there's a 'X' at the 'PUT TEXT ATTACHMENTS IN BODY OF MESSAGE'
Click [OK] - exit out of settings
NOTE: this only has to be checked once to be set permanently
5.Create a NEW MESSAGE (MESSAGE/New Message)
6.Enter the TO:, SUBJECT, areas
7.Select MESSAGE/Attach File - to 'attach' the text file
Be sure that the TEXT+Doc button is NOT lit.
This button is used if you would want file to go as an attachment.
For Eudora 5.1, once the message is sent to the person indicated, the text
will appear in the body of the message.
TIP #2: NICKNAME TIP - PUT FULL NAME IN PARENTHESES (
) AFTER E-MAIL ADDRESS

When typing a nickname list (Distribution List), you can identify a person
in the address area by typing their full name within parentheses
( ).
This will help you in the future if changes need to be made. It's easier to
spot a name than an e-mail address.
Here's an example for you:
After you give your Nickname List a name - you would then type in your
e-mail addresses for your list to the right in the Address area.

TIP #3: SET A "PRIORITY" MARKER IN MAIL - LET SOMEONE
KNOW THAT IT'S IMPORTANT
(All Versions)
You can set a
'priority' marking before you send a message to let someone know that it's
VERY IMPORTANT mail, etc.
The recipient of your mail message 'sees' the priority marking when he/she
checks for new mail and the list pulls up. It would 'flag' the
person that it's priority mail.
Here are the Steps:
1.While you're in a NEW MESSAGE area, Click the 'down arrow' [to the left of
the signature button above msg]
2.Select the 'priority setting' you want (Highest/High/Normal/Low/Lowest)
3.After completing your message, click the SEND button
TIP #4: MAKE A COPY OF AN E-MAIL MESSAGE AND TRANSFER
IT INTO A MAILBOX/FOLDER

Transfer a copy of an
e-mail message into a mailbox/folder and keep the original message in place.
Here are the steps:
1.Make sure the message that you want a copy of is hightlighted (The message
doesn't have to be open - it can be highlighted at the
IN Box)
2.Hold down the SHIFT key and select TRANSFER from the menu - You would hen
select a mailbox/folder to put the copy in. This
will give you a copy of the message and let the original message in place.
3.You can make as many copies of a message that you want as long as you hold
down the SHIFT key.
TIP #5: CONFIGURATION SETTING CHANGE - PLEASE CHECK
YOUR SETTINGS (SPECIAL/SETTINGS) (All Versions)
Eudora Users who are
accessing ENGR's Eudora POPServer
PLEASE FOLLOW THE FOLLOWING STEPS:
1.Select SPECIAL/Settings from menu
2.Click on HOSTS icon
3.At SMTP area type: SMTP.ENGR.PSU.EDU

TIP #6: ENHANCEMENT TO USING EUDORA 1.5.4 - GO TO WEB
SITES BY DOUBLE CLICKING ON URL ADDRESS IN YOUR MAIL MESSAGE
If someone sends
a mail message with an Internet Web site address in the body of the email
message:
EX: http://www.engr.psu.edu
In Eudora 1.5.4, you can simply doubleclick on the Web site address (when
the mouse pointer turns into a 'hand/finger')
NOTE: the first time you use this feature, it will ask you what program to
use with it. Simply find the netscape.exe on your hard drive that is
used (if you're using Netscape), and it will take you directly into Netscape
to that page. From that point on, you won't have to do this
Eudora 5.1
In Eudora 5.1, you only need to click once on the URL within the body of the
message.
TIP #7: EUDORA VERSION 1.5.4 - USING A URL ADDRESS IN
A MAIL MESSAGE
When using a URL address in a mail message, remember this:
If you send a mail message with a URL address in it, do not put a period at
the end of a URL address. The person that you're sending to
would not be able to doubleclick on the address because it will not
recognize the address with a period at the end.
Eudora 5.1
In Eudora 5.1, you can put a period at the end of the URL and the receiver
will still be able to click on the URL and visit the site.
TIP #8: EUDORA HEADER ELIMINATION

To eliminate all the header information in your mail messages, put
parentheses ( ) around the nickname list in the TO: area, and use the
BCC: area to type the nickname list in without parentheses:
EXAMPLE:
TO: (L-OPCOM) -- Put your nickname in with parentheses
Bcc: L-OPCOM -- Put your nickname in without parentheses
TIP #9:
REMINDER TO CHECK YOUR OUT MAILBOX PERIODICALLY

Check your OUT mailbox periodically if you checked in the configurations:
"Keep Copies of Outgoing Mail"
This is a nice feature, but you should check your Out mailbox and delete
messages periodically - this will clog up your hard drive with
unnecessary messages.
TIP #10: BACKUP YOUR MAILBOXES IN EUDORA
(All Versions)
Remember, if your hard
drive goes - So do your saved e-mail messages
Here are some instructions on how to backup your mail messages
Go into File Manager (If using WFW/NT)
Go into Windows Explorer (If using Win 95, Win98, Windows NT, Windows
2000 or Windows XP)
Look in the directory: c:\ip\w\mail(If using Eudora from Network)
Look in the directory: c:\iaccess(If using Eudora from CAC)
Look in the directory: c:\mail (if using Eudora version 5.1 - the
default folder for mailboxes and table of contents files)
Mailboxes will be listed in the right column (If you didn't put them in a
Folder)
If you've created Folders with Mailboxes inside of them - they will be
listed as a subdirectory. To get the mailboxes inside a folder,
just click on the Folder Subdirectory and the mailboxes will display in the
right column.
You will want to copy everything with the extensions: .mbx and .toc
Example: John Doe.mbx and John Doe.toc
TIP #11: KEEPING COPIES OF OUTGOING MESSAGES
You can set Eudora to
automatically keep a copy of everything you send. It can also be set to not
keep copies but rather keep only those
you choose as you send them. Copies are kept in the Out mailbox.
To set Eudora to keep a copy of all outgoing mail:
1.From the Special Menu, select Settings.
2.From the scrollable field on the left select the Sending Mail
category. The right side displays the mail sending options.
3.Check the box for Keep copies of outgoing mail.
4.Click on the Ok button. The Settings dialog box closes.
If you don't want to keep a copy of everything you send make sure the box in
step 3 above is NOT checked. Then, when composing a
message, near the top of the message window is an icon which looks like two
overlapping pages. For Windows users, this icon is a button
which you can click on to keep a copy of that message. For Mac users, click
on the icon and a check will appear to the right. If the button
is depressed (Win) or the check mark displays (Mac) a copy of that message
will be placed in the Out mailbox.
Eudora 5.1
In Eudora 5.1, select the Tools menu, then select Options and choose
Composing Mail. Make sure the 'Keep copies' check box is checked.
TIP #12 -
HIGHLIGHT AND TRANSFER ALL MESSAGES FROM THE SAME PERSON

On the PC:
Hold ALT/ key down and click on message with the person's name
[ALL the messages in the mailbox highlight at once!]
Then transfer your messages
On the MAC:
Hold OPTION/ key down and click on message with the person's name
[ALL the messages in the mailbox from that person highlight at once!]
Then transfer your messages
TIP #13 - SORTING MESSAGES IN YOUR MAILBOXES -
Version 3.0.1 (PC)
You will notice a Toolbar across the top of your mail messages
You can use this Toolbar to sort your messages in the following ways:
S - Sort by STATUS (to sort in Descending order, hold the SHIFT key
down)
P - Sort by PRIORITY (to sort in Descending order, hold the SHIFT key
down)
A - Sort by ATTACHMENT (to sort in Descending order, hold the SHIFT
key down)
Who - Sort by SENDER (to sort in Descending order, hold the
SHIFT key down)
Date - Sort by DATE (to sort in Descending order, hold the
SHIFT key down)
K - Sort by SIZE (to sort in Descending order, hold the SHIFT
key down)
Subject - Sort by SUBJECT (to sort in Descending order, hold
the SHIFT key down)
You can also change the size of the button by pointing between the subjects
until the mouse pointer turns into a double sided arrow.
Simply hold the left mouse button down and drag left to right to size.

In Eudora 5.1, these options are displayed as icons across the top of your
open mailbox.
TIP #14 - DOUBLE CHECK YOUR DISTRIBUTION
LISTS/ADDRESS BOOK (All Versions)
If you have old
distribution lists that you send to on a regular basis, you may notice that
some ID's are getting bumped back to you. This
is because you may have invalid ID's in your distribution lists.
Doublecheck to make sure you DO NOT have any of the following ID's
within your distribution lists/Address Book:
UserID@oas.psu.edu <all of these are not valid ID's any
longer>
UserID@psuvm
UserID@psuadmin
If you do have ID's as mentioned above, check with the user for the correct
e-mail ID. They could be using a CAC ID (UserID@psu.edu)
or they could be using a network ID (UserID@engr.psu.edu)
REMINDER: You can put the persons name in parenthesis next to their
UserID to make it easier for you to make changes in the future.

TIP #15 - YOU CAN CHANGE THE PRIORITY OF YOUR MAIL
MESSAGE FROM YOUR MESSAGE

TIP #16 - SAVE ROOM ON YOUR DISK BY EDITING YOUR
MESSAGES (All
Versions)
Mail messages come with
a lot of header information, some more than others. If you want to save the
message, here's what you do. While
the message is open, click the pencil button on your message toolbar.
You are now in 'edit' mode. Simply highlight what you would like to
delete, and press the delete key [if using Eudora Light] or if using Eudora
Pro 4.0, from the menu you can select EDIT/Cut or use the
keyboard shortcut CTRL/x . When you close the message a window will appear
asking if you would like to save the changes, click YES.
TIP # 17 -
CREATE A REMINDER MESSAGE TO YOURSELF (Eudora Pro & Light)

Want an e-mail reminder
sent at a specified time in the future? Eudora's built-in personal secretary
can send you one.
To send a queued reminder message to yourself, simply:
Create a message and address it to yourself
But when you're ready to queue it, hold down Shift while clicking the
SEND button. Set the Send message delivery date for an
appropriate time in the future. The message will sit in your out-box until
the specified day arrives.
TIP # 18 - SAVING MAIL MESSAGES OUT TO A TEXT FILE
(Eudora Pro & Light)
(All Versions)
You can save your
e-mail messages to a text file. Simply highlight the e-mail message or
CTRL/Click to highlight more than one in the IN BOX.
FILE/Save As
Select a drive/directory to place your file in
Give the file a name
If you want the header information included, simply check the box at the
bottom of the Save/As dialog box [Include Headers]. Note: If
you check the include headers box, it will remain checked until unchecked.
Open up Word/WordPerfect/Notepad
FILE/Open
Go to the drive/directory that you save the file to
OK
You may see a screen appear that says Convert File Format From:
Ascii (Dos)Text - say OK
TIP #19 - SENDING MAIL IN A HURRY - USE A DESKTOP
SHORTCUT (All
Versions)
Want to save time
sending someone email? Create a desktop shortcut that
opens your email program and creates a new mail message to that person!!
To CREATE the email shortcut do the following:
Rightmouse click on the background of your desktop
Select NEW, then SHORTCUT from the dropdown menu
In the Command Line area, type: mailto: and the email address of the person
you want to message <don't use spaces> EXAMPLE: mailto:jdoe@anyplace.edu
Click the NEXT button and type a name for your Shortcut
Click FINISH
<the new shortcut should appear on your desktop>
To USE the shortcut, simply:
Doubleclick on the shortcut icon
Your email proram should launch and the email address in the TO: area should
be filled in
Complete your email message & SEND as you normally would.

What are they?
Did you ever get an attachment with a filename extension that you dont
know? You can get information about the file extension by
visiting the following Website and click on the first letter of the file
extension (e.g., click on E if the file extension is .exe it will give you
a
list of all the filename extensions that begin with e!!

#21 - Missing Eudora Mailboxes and Resizing the Window Pane Doesn't Help?
You can Have Eudora Recreate the Eudora.ini File:

Find Eudora mail
directory. By default it's c:\mail, but it depends on how it was set up
Inside the Mail directory, rename eudora.ini to eudoraOLD.ini
Open Eudora <It will prompt you for a new mail account>
Proceed and enter the necessary information (see examples
below)
Example (if using Penn State's mail server)
pop account = abc123 [this is user's email account ID]
mail server = mail.psu.edu
smtp server = smtp.psu.edu
Example (if using College of Engineering mail server)
pop account = vyoung [this is user's email account ID]
mail server = mail.engr.psu.edu
smtp server = smtp.engr.psu.edu
Tip
#22 - Creating Filters for Customized Junk Mail Filtering
(Version 6.0)
To add your own, customized
filters to identify "Junk Mail", you can create a filter and tell Eudora to
check incoming messages for a certain word or phrase in the subject line, or
for a particular email address in the from line, and transfer these incoming
messages to the new Junk mailbox.
Here's how:
1. From the Tools menu,
choose Filters.
2. Under Match, click in the Incoming check box.
3. For header, select Subject from the drop down list.
4. Select contains for the next drop down list.
5. Type in the term you want to appear in the subject line. For
example, you can type the phrase "weight loss" to identify any
email message with the phrase weight loss in its subject as Junk.
6. Under Action, select Junk from the drop down list.
7. Close the Filters dialog box and when prompted to Save, click Yes.
8. Send yourself a test message remembering to include the phrase "weight
loss" in the subject. This message should automatically go into your
Junk mailbox.
Tip #23 - Keep Distribution Lists Private
(Version 5.1 and later)
Often times, you will want to
send an email message to a group (distribution list) and Not
display all the email addresses in the To: field. There are three ways
you can accomplish this:
- Add a new address
book entry/nickname (click on the Address book icon from the
toolbar and then click the New button) and make sure you enter
text in the Full Name: field. Recipients of this email message will
only see this text in the To: field of the received message.
or
- Start a New email
message, type in all the email addresses of the recipients you
want to include. Once all the email addresses are typed, place your
cursor before the first email address entry and type an alias followed by
a colon (such as Associates:) and then place your cursor
after the last email address entered and type a semi-colon (;). Then
send the email message and recipients will only see the Alias name rather
than all the email addresses.
or
- Start a New email
message, type in your own email address in the To: field and
type in all the recipient email addresses into the BCC: field.
Recipients will only see your email address in the To:field of the
received email message.
Note: Users of Outlook (configured as
an Exchange client) and Webmail will not be impacted by this change. This
only applies to users of the College of Engineering mail accounts (USER@ENGR.PSU.EDU).
These changes do NOT apply to users of CAC mail accounts (USER@PSU.EDU).
Tip #25 -
Turn Off "Delete Junk From Server" Setting
- Version 6.0
By default, Eudora 6.0 is
set to delete junk messages from the server. If you have Eudora set to
remove junk messages, these messages will be deleted from the server which
is fine if the message was correctly identified as junk - but what if the
message wasn't junk but rather, a valid message. This incorrectly
identified "Junk message" would no longer be accessible. To remedy this,
you can turn off the "Delete Junk From Server" setting.
If you check mail in more
than one location and have Eudora set to leave mail on server, be sure to
turn off "delete junk from server" before you check your mail. Here's how:
1. From the Tools menu,
choose Options.
2. Choose Junk Mail
Extras (second to the last category).
3. Uncheck Delete fetched
Junk from server.
Tip #26 - Quickly Reset Your Toolbars To
Appear As They Did When Eudora Was First Installed
Here is a quick and easy
method to reset Eudora back to looking like it did when it was first
installed.
-
Open Eudora.
-
Hold down the SHIFT key and the CTRL key on your
keyboard at the same time.
-
While still holding the two keys down, click the Tools menu,
then click Options.
-
Let go of the keys on your keyboard.
- A
dialog box will come up telling you that Eudora is about to strip out
all but the most vital settings. Click the button labeled Yes
.
-
Eudora will close automatically. Simply reopen Eudora and your
toolbars should be restored to their original positions.
Tip #27 - From Where Do "Spammers" Get Your E-Mail
Address?
(All Versions)
A "Dictionary
Attack" is a common method for spammers to use in an attempt to obtain
e-mail addresses. When using this method, spammers use programs that try
many combinations of email addresses, with the goal of identifying valid
e-mail addresses to "spam". Once an email system accepts a
message, the e-mail address is identified as valid. Large e-mail
systems/providers protect themselves from dictionary attacks, blocking
computers that attempt to send many messages. However, sometimes it is
hard for these systems to differentiate these systems from legitimate,
high-volume mailings such as e-mail newsletters.
Tip #28 - Can "Spammers" Get My E-Mail Address From
the BCC Field?

No they cannot.
This is because the list of email addresses is stripped out by the
sending SMTP server before e-mail is sent to addresses contained in a
BCC (blind carbon copy) field.
Tip #29 -Phishing Spreads to Include Not Only Banks
(All Versions)
Phishing attempts
(e-mails attempting to trick you into visiting a link provided within an
e-mail message and prompting you to enter sensitive information so it
can be used for criminal purposes) are no longer limited to the banking
industry. Recently, phishing attempts have spread to include messages
posing as coming from the following:

amazon.com
-
yahoo.com
-
soccer world cup
-
eBay
-
MSN
If
you are not sure of the validity of the source of an email, contact your
e-mail service provider. Do NOT click on the link provided in the e-mail
message.
