Office 2007 Tips

PLEASE NOTE: Previous tips concerning keyboard shortcuts may still work in 2007; in addition, tips that involve using the lower Office version’s ‘menu’ options may have an equivalent function in 2007 using the new Ribbon and OFFICE button (that replaces the previous menu/toolbars). We will be revising our Software Tips pages as part of our upcoming web redesign and we’ll make necessary additions at that time.

TIP #1:  SHORTCUT USING THE ALT KEY INSTEAD OF THE MOUSE TO SELECT RIBBON COMMANDS

If you touch the ALT key in Office 2007, shortcuts (letters) appear on the ribbon - touch a letter that is associated with the tab or command.  This is an on/off toggle.  When you touch the ALT key again, you turn off the short cut letters.


TIP #2: FILE NAME EXTENSIONS - UNHIDE FILE EXTENSIONS TO SHOW COMPLETE FILE NAMES - ( Versions Windows VISTA or Windows XP)

With the release of Office 2007 and the new file formats, you can easily distinguish the new file formats from older formats by ‘unhiding’ the file extensions.  The Windows XP and Windows Vista default for files is to ‘hide’ the file extensions unless you unhide them.

 Here’s how you can unhide the file extensions:

 If using Windows Vista, START/Control Panel, select Appearance & Personalization, then Folder Options, click View tab set options in this area (unhide file extensions, show full path, etc.)

 In Windows XP, START/All Programs/Windows Explorer, TOOLS/Folder Options, Click View tab, set options (unhide file extensions, show full path, etc.)


TIP #3 - KEYBOARD SHORTCUTS THAT CAN BE USED GLOBALLY USING OFFICE 2007

CTRL/n   = create new document (or in Outlook creates a new item in various components of Outlook)
CTRL/s   = save
CTRL/p   = print
CTRL/c   = copy
CTRL/x   = cut
CTRL/v   = paste
CTRL/z  = undo
CTRL/h  = find and replace window
CTRL/b  = bold
CTRL/i   = italics
CTRL/u  = underline
CTRL/w  = close file
CTRL/o   = open file
CTRL/k   = insert hyperlink
CTRL/a   = select all
CTRL/f    = find (in Outlook = forward message)
CTRL/r    = in Word (right align)     in Outlook (reply message)
CTRL/g   = in Word/Excel - go to window to navigate
CTRL/l    = in Word/Powerpoint - left align     in Excel 2003 - create a 'list' range (list feature not in Excel 2007)
CTRL/;    = in Excel or Access - insert today's date
